JOB TITLE:ERP Data Administrator
REPORTS TO:Vice President of Operations & Regulatory Affairs
BASED OUT OF:Markham, ON

JOB PURPOSE
Works with all departments staff to implement their work on-line by providing ongoing input and updating of new or revised product information onto ESBE’s electronic media; supporting Sales & Marketing Departmental initiatives aiming to maximize all product line exposure and increase a positive industry profile; supplementing and expanding the ESBE Corporate Sales efforts by providing valuable information to our customer base in a wide variety of electronic formats.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Provides Prophet 21 (ERP) System Administration
    • Being knowledgeable of all functional areas within Prophet 21 ERP
    • Providing Prophet 21 technical support to Staff
    • Liaising with Epicor Support for problem resolution
    • Upgrading and backing up Prophet 21 via SQL Mgmt studio as required
    • Assisting with supplier pricing updates
    • Preparing / Importing supplier excel price sheets for importation
    • Inputting / Importing New Products in Prophet 21
    • Maintaining ESBE data confidentiality
  2. Inputs New and Revised Item Data into Prophet 21 (ERP)
    • Receiving from ESBE Product Managers and Product Manufacturer staff detailed EXCEL files including product codes, price descriptions, and costs.
    • Inputting EXCEL files or other electronic content into Prophet 21 and then preparing it for purchase by our customers.
    • Making on-going corrections and modifications in Prophet 21 to ensure the content remains highly accurate.
    • Assimilating our vendors’ annual price list increases to be effective on their active dates.
    • Ensuring related Health Canada Medical Device or Drug Identification Number data is included and up-to-date before status changes are made from “grey” pending to available for sale.
    • Monitoring / Updating standard costs and list prices using Crystal Reports.
  3. Inputs New and Revised Product Data onto www.esbe.com in a Timely Basis
    • Building a complete, comprehensive www.esbe.com electronic catalogue through inputting layout with specific product information; product group descriptions; product images and links.
    • Adhering to a specific and consistent ESBE Corporate image throughout all electronic media, as created by our Marketing Coordinator.
    • Adhering to a branch and tree format set out by ESBE Sales and Marketing, ensuring formatting closely matches content found on our manufacturer web sites or set out by our ESBE marketing team.
    • Ensuring complete alignment between Prophet 21 and www.esbe.com product presentation
  4. Maintains Corporate Website
    • Coordinating efforts, changes and enhancements by working with Epicor host provider team including the correction and rapid function of all web site features.
    • Working closely with ESBE manufacturing partners, IT staff and 3rd Party web designers to tie-in all ESBE promotional activities onto the website.
    • Maintaining fresh, current content for all categories in addition to products, such as what’s new, loading promotional flyers, and job ads.
    • Inputting and maintaining appropriate special pricing and terms tied to ESBE national promotions or to specific Customer Account Numbers.
  5. Creates and Administers ever-expanding ESBE Social Media Activities
    • Setting up and maintaining content in LinkedIn, Pinterest, Facebook, Meet-up, Twitter, etc.
    • Supporting marketing inputs into the various social media outlets along with ESBE and supplier staff, i.e. fully leveraging their international initiatives.
  6. Generates and Increases Traffic to www.esbe.com in a Variety of Processes
    • Coordinating search engine Google and YouTube activities via manipulating and adding content.
    • Wherever possible, identifying and facilitating www.esbe.com tie-ins to any ESBE promotional activities.
    • Wherever sensitive company or individual information is handled, including passwords, pricing, and accounting information, confidentially is to be maintained on-line, on print and in any other type of communication.
  7. Performs other related duties as assigned by management, including by not limited to
    • Backing up ERP related entry functions such as cash receipts, EDI / B2B sales orders, purchasing.
    • Supporting ISO9001 by embracing continuous improvement by proposing new and/or better ways of doing things.
EDUCATION AND EXPERIENCE REQUIRED
  • Degree or College Diploma in web design and construction
  • Experience with the following technologies: ERP systems, Microsoft SQL Server administration, Microsoft Windows server administration, Networking and TCPIP knowledge, communicating and resolving issues with 3rd party vendors
  • Knowledge of programming languages like HTML, CSS and SQL in order to support our enterprise and website
  • Degree in Life Sciences an asset
SKILLS / COMPETENCIES
  • Proficient Computers Skills: Windows, Excel, Office 365, Crystal Reports
  • Strong organizational, writing, interpersonal and communication skills
  • Exceptional attention to detail and committed to a high degree of accuracy
  • Possess excellent time and project management skills
  • Proficiency working with ERP systems
  • Strong oral and written fluency in English required; Bilingual in French would be an asset

JOB PURPOSE
Promoting and selling ESBE’s products and services, serving customers and building business by interacting with established customers and maintaining these relationships; identifying and developing new prospects; applying knowledge of ESBE’s services, products and marketing techniques; selling products; identifying and meeting customer needs and closing sales.
 
EDUCATION AND EXPERIENCE REQUIRED
  • MLT designation or BSc degree (Life Sciences preferred and MSc. also welcome)
  • Three years successful experience as a sales representative, or in an inside sales or customer service position
SKILLS / COMPETENCIES
  • Ability to work with minimal direct supervision
  • Good listening skills with logical thinking patterns
  • Ability to build rapport
  • Investigative thinking in order to identify customer needs
  • Problem solving skills
  • Valid driver’s license and reliable transportation
  • Willingness to travel – local and overnight
